GameFlow ("we," "us," or "our") operates a team management platform for youth and recreational sports teams, available as a web app and an iPhone app. This Privacy Policy explains what information we collect, how we use it, and how we protect it.
We collect information that coaches and parents provide when using the platform:
When you visit our website or use the app, our servers record technical information: your IP address and the approximate location it indicates (country, region, and city), the type of browser or device, the page you came from, and which pages or features you use. We use this to keep the service secure, to limit abuse, and to understand how the website is used. The app keeps you signed in using a session stored on your device. We do not use advertising trackers.
GameFlow uses an AI service to help coaches write practice plans, game summaries, and team emails. These features run only when a coach asks for them, and a coach reviews the result before it is saved or sent.
To write a game summary or a team email, we send our AI provider the information needed for that text: the team name, player names (first names or the name a coach has chosen), game scores and player statistics, posted game summaries, upcoming events, the coach's request, and any standing instructions the coach has saved. Contact details such as phone numbers and email addresses are not sent. For practice plans, a description of the session goals is sent.
We use the following third-party services to operate GameFlow. Your data may be processed by these providers in accordance with their own privacy policies.
We do not sell your personal information to any third party. Beyond the providers above, we share information only:
Photos and videos uploaded through GameFlow are stored securely and are only accessible to members of the team they were shared with. We do not use them for any purpose other than displaying them to that team. Any team member can choose a photo or video as a game's cover image.
GameFlow is for adults and for players who are 13 or older. It is not intended for children under 13: they may not sign in, and we do not knowingly collect personal information from them. Younger players take part through a parent or guardian's account.
A team's roster includes players' names, jersey numbers, and statistics, which a coach enters as part of running the team. A player's own phone number or email address can be added as a contact only when the coach or parent adding it confirms the player is 13 or older; until that is confirmed, that phone number cannot sign in. Coaches are responsible for having a parent's or guardian's consent before adding information about any player under 18.
If you are a parent or guardian and have a question about your child's information, or believe information about a child under 13 has been added without your consent, contact us at contact@gameflowapp.com. We may ask for information to confirm that you are the child's parent or guardian, and we will correct or delete the information promptly.
We retain your information for as long as your team is active on the platform. Events a coach deletes are kept for a period so they can be restored. You can delete your account at any time in the app under Settings, or request deletion of your account and associated data by contacting us at contact@gameflowapp.com.
You can see and correct your contact details in the app, and delete your account in Settings. You can also ask us for a copy of the information we hold about you, or to correct or delete it, by contacting us at contact@gameflowapp.com. Depending on where you live, you may have additional privacy rights under state law; we will honor requests made under those laws.
You can turn each kind of push notification on or off in the app's Settings, or turn them all off through your device or browser settings. To stop receiving email communications or to request removal from the platform, contact us at contact@gameflowapp.com.
We take reasonable technical and organizational measures to protect your information, including encrypted data transmission and secure credential storage. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
We may update this Privacy Policy from time to time. Continued use of the service after changes are posted constitutes your acceptance of the updated policy.
